Facilities Co-ordinator - £24k - £28k - Egham

We are delighted to be recruiting for a Facilities Coordinator for our Global client based in Egham.

This role will be working as part of a small facilities team of 3 with the objective of facilitating and supporting the operation and maintenance of the EMEA Head Quarters and other UK locations as required.

Specifically this role will oversee the smooth operation and running of the Post Room team as well as providing cover to Reception for breaks.

Ideally we are seeking a candidate with some previous Facilities Support experience but this role won’t be suited to a candidate looking for a step quickly into a Facilities Management or Supervisory role due to the structure of the team.

You may be a coordinator or administrator who has had some exposure to these areas or an office manager with some facilities responsibilities looking to work in a more specific facilities role.

You will be working as part of a small, supportive and friendly team who sit within a larger business environment.

One of the other key areas of responsibilities will be to source quotes on maintenance work when contracts are up for renewal to ensure that the company are receiving services at a competitive price and that the terms of the supplier are agreeable.

Other Role Responsibilities include:

  • Monitor and report facilities expenditure

  • Liaise with existing supplier base to fulfil facilities requests

  • Support the Facilities Manager in the development of policies and procedures

  • To assist in the handling of sub tenant issues and service charging

  • Monitor all office related purchasing requests against cost centre collection points

  • Work with the Facilities Manager in the appointing of any new suppliers for the office

  • Work closely with the quality department to ensure that the waste management is controlled effectively

  • To perform inspections and audits and investigate incidents which have an environmental impact

  • To promote a positive Environmentally friendly culture

  • Provide coverage for reception and Health & Safety Coordinator as required as well as ensuring enough coverage during holidays.

  • Additional projects or duties as required

Key Knowledge and Experience

  • To be self-motivated and fully focussed on the result

  • Ability to negotiate with and deliver to stakeholders across the organisation

  • Good communication, presentation and office skills

  • To be a strong team player, motivate and have a positive energy within the team

  • Displays a sense of urgency and actions requests in a timely manner

  • To assess and understand tasks in terms of priority

  • Able to multi task and act effectively when under pressure

  • Previous facilities experience as part of a previous role

  • Strong Administration and coordination skills and experience

Hours of work are Monday to Thursday 8-5pm and Fridays 8-4.30. This isn’t negotiable so candidates must be able to work these hours.
